Childcare Registration Form
Please ensure this form is completed in full. When completing the childcare registration form, you are providing us with important information about your child, it is important that this information is accurate and correct. If you have any diﬃculty completing the registration form please contact the Nursery Manager who will be happy to assist you.
Please note that all places are subject to availability. Completion of your childcare registration form does not guarantee your child a place at the nursery. We operate a waiting list, and will inform you within 10 working days as this is subject to childcare place availability.
Age of Admittance
12 weeks to 5 years of age.
Hours of Opening
The Nursery is open Monday to Friday from 7.30am to 6.30pm. The Nursery will be closed on all bank holidays, and one week during the Christmas holidays.
Registration fee £20.00
Late Child Collections after 6.30 pm £10.00 per breach.
Returned Direct Debit mandate is £20.00 per breach.
Security DepositTwo weeks equivalent fees per Child registration
Settling Child into nursery
It is necessary to allow all children time for settling in their new environment. It takes time for some children to form relationships with their carers and become familiar within the nursery surroundings. Every child and their needs diﬀer so the length of time for settling in varies from child to child.
We ﬁnd that it normally takes a child about 2-3 sessions to settle in. We ask that parents attends the nursery the week before the start date with the child for settling in until he or she is happy to be left and so that parents can read all policies and procedures and to allow staﬀ obtain the relevant child related information and consent that is necessary in ensuring a smooth transition into nursery. This will be discussed by the manager.
To ensure the safety and wellbeing of all children who attend our nurseries and to avoid distraction we enforce a no personal mobile phone usage policy within our settings. Can we please ask you to abstain from using your personal mobile phone as you arrive at the nursery premises, and do not use it again until you have left the nursery.
We reserve the right to make amendments to the terms and conditions of your childcare contract without notice. The current terms and conditions are published online at www.kiddiesloungenursery.com, or you can request this from the nursery manager.
Change of Details
You must immediately inform us of any changes to your contact or bank details and any change in your child’s circumstances
Off Premises Visits
Staff will occasionally take the children for walks or visits off premises during the course of their sessions in accordance with statutory staffing requirements.
Complaints and concerns
Customer satisfaction is very important to us, and every complaints will be properly investigated .If you have a concern or complaint, please make it without delay to the Nursery Manager or Directors. If you have any concerns about the services we provide, please discuss it with your childs key worker or nursery manager. If these concerns have not been resolved to your satisfaction please contact the Nursery Directors.

You must inform us if your child is the subject of a court order and provide us with a copy of such order on request.
Criminal Records Bureau
All Kiddies Lounge Pre - School Day Staff are fully cleared by the Criminal Records Bureau. This clearance last for 3 years however our staff sign an annual disclaimer stating that if there have been any change since their last clearance they must let us know.
Early Years Grants
Early Years grant payments for Children aged 3 year + will have their term entitlement deducted monthly from their invoice.
Voucher payments will be accepted on a month in advance basis i.e. if your wage date falls after the 25th of the current month the voucher payment will be deductible from the following months invoice. This is due to voucher companies taking 2 weeks to process voucher payments.
Any child who attends Nursery and has an accident whilst in our care will be given basic ﬁrst aid treatment by staﬀ. This will include the treatment of minor cuts, bumps or bruises.
Any emergency treatment or medical advice will be permitted unless a parent states in writing otherwise. The Nursery does
not accept any responsibility for treatment given against parent’s wishes if we have not been informed otherwise.
All Parents will be informed and required to sign the accident book. In the case of a more serious accident or incident a child
will be taken immediately to a doctor or the nearest hospital and parents will be informed.
The Nursery will make every eﬀort to notify parents should their child become ill at the Nursery. Senior staﬀ reserves the
right to remove the child to hospital in an emergency. Please note minimum exclusion periods apply and must be adhered
to; our policy and guidelines are available from the nursery manager.
The Nursery reserves the right to refuse to accept children until the Nursery is satisﬁed they are not infectious. This is to
protect other children from cross infection. The Nursery’s exclusion policy is guided by the relevant local Authority.
If in doubt
If your child is suﬀering from a doubtful rash, sore throat, discharge from the eyes, nose, diarrhoea or any similar symptoms;
Please keep the child at home until the doctor has certiﬁed that the symptoms have disappeared.
For the beneﬁt of the other children in the nursery, you must not allow your child to attend the nursery if they are suﬀering from a contagious disease which could easily be passed on to another child during normal daily activities of the nursery.
You must inform us immediately if your child is suﬀering from any contagious disease.
If your child is prescribed antibiotics, please keep them at home until 48 hours dosage has been administered in case of
adverse reaction to the medication. Antibiotics and medicines will only be administered by Nursery staﬀ after the child has
been taking them for more than 48 hours at home, and only then with written authorisation from the parents. All antibiotics
must be prescribed by a doctor.
Food & Drink
Fresh drinking water is available to all children throughout the day. All children will be encouraged by the staﬀ to drink water throughout the day as part of our commitment to oﬀering healthy food and drink options.
Water is available for the older children to help themselves when thirsty, this promotes independence and self-help skills. For the younger children water will be available and oﬀered throughout the day alongside designated snack and meal times in either beakers or cups depending upon the age and stage of development of the children.
Meals & snacks
All special dietary requirements will be catered for. Children will be provided with drinks and snacks at regular morning and afternoon snack times along with three nutritious, balanced meals daily. Menus are displayed on the parents display board.
If your child does not attend school for any reason, you must let us know before 9.00 am to ensure that the correct numbers of meals are prepared. Parents will be charged if they do not let us know before 9.00am
Milk Feeds & Nappies
Formula bottle feeds should be supplied, prepared and labelled by parents and brought to the Nursery each day where they will be stored at the correct temperature until required.
Bottles will be rinsed and sent home every evening for sterilisation. Parents are asked toprovide supplies of their preferred nappies when required. These will be tagged with each child’s name.
Fees & Charges
Free Early Years Entitlement (FEYE) Payments
Free Early Years Entitlement (FEYE) is available for all 3 and 4 year old children, regardless of parental income, from the term AFTER a child’s 3rd birthday. Your child will be entitled to 15 hours of free childcare, per week, for 38 weeks (term times only).
The 15 hours can be taken over a minimum of 2 days. The level of flexibility offered in attendance can be discussed with the nursery manager. You will not be charged for the 15 free hours per week. If you child attends for more than 15 hours per week, you are responsible for paying for the additional hours and services accessed and you will be invoiced on a monthly basis.
FEYE payments & FEYE terms
When Can Children Start Receiving FEYE Payments?
Please note that there are no FEYE payments during July and August.
The FEYE Spring term starts on the 1st January to 31st March for 12 consecutive weeks, the FEYE Summer term starts from the 1st April until the 30th June for 12 consecutive weeks and the FEYE Autumn term starts on the 1st September to 31stDecember for 14 consecutive weeks. This is a total of 38 weeks.
Full fees will be payable by the parent for childcare weeks outside the term dates.
Free Early Years Entitlement (FEYE) payments
Parents will have their term entitlement deducted monthly from their invoice. Should there be a shortfall in the FEYE payment and the nursery fees then this will be invoiced and the balance paid by the parent to the nursery.
Change of Booking Pattern
To increase your booking pattern we require 24 hours’ notice subject to availability.
To decrease your booking pattern you must provide us with thirty (30) days’ notice in writing or by email to the attention of the nursery manager. Should insuﬃcient notice be given then you will be invoiced for the full childcare fees for thirty (30) days’ notice from the date of any change as if the hours had not decreased.
Your First Invoice
We will create your ﬁrst invoice from your child’s ﬁrst day of attendance until the end of the month. This invoice must be
paid in advance before or on your child’s ﬁrst day of attendance.
Calculation of Fees
Full days are calculated from 07:30am to 6:30pm. Sessions are calculated from 07:30am to 1:00pm or 1:00pm to 6:30pm.
Parents who have more than one child at the Nursery, a 10% reduction in fees is allowed for the second and subsequent children. This is applicable only on the booking pattern and does not include any extra sessions or additional hours.
Payment of Fees (Monthly in advance)
Fees are collected by Direct Debit or Online payment method only on the first of each month (if on a weekend, the 1st working day of the month) and are paid monthly in advance in accordance to your booking pattern.
All payments made under the childcare contract terms and conditions must be made by direct debit or online payment method. Under exceptional circumstances we may agree to payment by cash; however, it is your responsibility to obtain a receipt from the nursery manager as your proof of payment.
The Nursery will be closed on all bank holidays, and one week during the Christmas holidays.
Payment of Fees (Monthly in arrears)
Additional hours, late pickup charges and any additional sessions accrued for the month are invoiced at the end of each month and are payable within 7 days of issue. Failure to pay will lead to termination of childcare contract, and your child/ children will lose their place at the nursery. You will still be required to pay any outstanding balance on your account.
Schedule of Fees

An initial two weeks fee equivalent security retainer is required to secure a place for your Child. Only then will we confirm to you that we have offered a place for your Child. For avoidance of doubt this retainer is non-refundable but will be used towards the last month payment when your child leaves the nursery provided you give a written notice of 1 full month prior to intention to leave and there is no outstanding balance on your account. Please note that emails and text messages shall not be acceptable for the purpose of giving notice. Failure to comply with the notice period will result in the whole retainer being forfeited and you shall not be entitled to any refund.
If a place has been reserved for your child and you decide to change your mind, you shall be required to give the nursery minimum of 30 days notice that your child shall no longer attend. In such circumstances, only 30% of the holding retainer shall be refunded in so far as you give a full one month notice and there is no outstanding balance on your account. Please note that emails and text messages shall not be acceptable for the purpose of giving notice. Failure to comply with the notice period will result in the whole retainer being forfeited and you shall not be entitled to any refund.
The registration fee is non-refundable in the case of cancellation or termination of your childcare contract.
Fees remain payable for periods of absence (Holidays and Sickness) as the child’s place is kept open and staff and associated costs continue to accumulate and be met by the nursery.
If the nursery has to close or we take the decision to close due to events or circumstances which are outside our control e.g. bad weather, flood etc. we shall be under no obligation to provide alternative childcare facilities to you, and parents are required to pay childcare fees.
If the closure exceeds 5 days in duration (excluding any days when the nursery would otherwise be closed), we will credit you with an amount that represents the number of days the nursery is closed in excess of 5 days. Please note that this depends on the circumstance.
Non Payment of Fees
Fees are collected by direct debit or standing order only on the first of each month (if on a weekend, the 1st working day of the month). If the payment of nursery fees is outstanding for more than 14 days after the 1st working day of the month. This will result in termination of your Childcare contract and loss of Childcare place.
Upon termination of this contract the child shall not be permitted entry to the nursery. This will lead to a formal demand for all outstanding monies plus any accrued interests owed, and we will issue a final invoice and pass this to a debt collection agency for full recovery.
In addition you will be liable for all associated debt collection fees and court costs.
If you postpone your start date at nursery, you will be required to pay a holding fee of 50% of your monthly invoice. Should an immediate start place be held on our waiting list, you will unfortunately lose your right to this place and be placed back on the waiting list for your new start dates.
Termination of Contract
If you no longer wish to maintain your child’s place at the Nursery you will be required to give minimum of thirty (30) days advance notice by writing to the nursery manager Please note that emails and text messages shall not be acceptable for the purpose of giving notice. During your 30 days notice period, the non-refundable retainer payment made will be used towards your final month fees in so far as you comply with the notice period and there is no outstanding balance on your account. Failure to comply with the notice period will result in the whole retainer being forfeited and you shall not be entitled to any refund.
Kiddies lounge preschool day nursery reserve the right to exclude a child from Nursery for any breach of the childcare contract. We may terminate your childcare contract if your child's behavior at the nursery is deemed by us to be unacceptable or endanger the safety and well-being of other children /staff at the nursery.
We will create your final invoice from the date of your termination email. You will be required to pay the full fees for the thirty (30) days’ notice. It is your responsibility to obtain a receipt from the nursery manager as your proof of termination.
Your child may attend during this time unless you have breached the childcare contract terms and conditions.
Employment of Staff
Solicitation of Staff
If, during this childcare contract and for a period of 12 months after the termination of this contract, you (directly or Indirectly) employ or otherwise engage the services of any member of our staﬀ who has had contact with your child or under this contract then you will be liable to pay and you will be invoiced a fee of £5,000.00 as payment to us recruiting and training a suitable replacement member of staﬀ or face legal action.
Child Security and Protection
The Nursery has a full written policy on Child protection. You can request this from the nursery manager.
It is our priority to keep children safe from harm when in our care. Any child who attends the Nursery, irrespective of their racial origin, gender, physical or mental impairment, class, religion or cultural background have a right to protection from
neglect, physical, sexual or any other abuse . It is our obligation to require or seek professional advice or actions
from the local social services team if we suspect a child is suffering from harm.
We are duty bound to inform the Child Protection Agencies or seek professional advice from the local social services team if we suspect a child is suﬀering from harm.if we have any concerns about the care a child is\receiving away from this setting, we have an obligation to report any instances where we consider that a child may have been neglected or abused to the relevant authorities. We may do so without your consent and/or without informing you.
Delivery & Collection of Children
We require passport photographs of the child/ children you wish to register at our nursery, parents/ carers or any persons you have listed to collect your child/children.
Children should be delivered by parents/carers into the care of a Nursery Staff Member and entered into the attendance register. Children will not be released into the care of anyone other than those named on the registration form unless authorised by the parents personally, by telephone or in writing. In addition, a personal visit of introduction by the parents, or anyone who will be collecting the child on occasions is encouraged so we are able to confirm their identity.
You are required to inform us immediately if you are unable to collect your child from nursery by the official collection time. All collections must be by an adult over 18 years of age.
The Nursery has a written policy available to view on behaviormanagement. You can request this from the nursery manager. We aim to work towards an environment in which children can develop self-discipline and self-respect The use of any form of physical chastisement, verbal humiliation, or aggressive handling of a child is not acceptable at the Nursery.
Property & Premises
Clothing and Personal Property
The Nursery does not accept responsibility for loss or damage of personal property brought on to the premises by children or parents.
Parents are requested to send children in easily washable, clearly labeled clothing which is appropriate to the weather conditions. Please also provide spare clothing’s for your child in case the need to change if an accident occurs.
Also dismay your child from bringing items of value to the Nursery.
Any vehicle relating to family or collectors is parked in the Nursery car park at owner’s risk.
